The problem with paperwork

Reports shouldn't cost you your evening

Most documentation problems don't happen on the job — they happen after, when details have already started to fade.

Before Scribify

Reconstructed from memory

  • Notes scattered across memory, texts, and paper
  • Photos with no context attached
  • Reports written late at night
  • Compliance details easy to miss
  • Inconsistent quality across techs
After Scribify

Captured as it happens

  • Voice-captured details in real time
  • Photo and equipment context attached per job
  • AI draft generated in the field
  • Compliance cues captured during the visit
  • Standardized review before final export
What's built in

Everything a report needs, captured on-site

AI as a productivity and quality layer — not a black-box replacement for technician judgment. You stay in control of what ships.

Voice-to-report drafting

Speak naturally on-site. Scribify structures it into report-ready language automatically.

Photo capture with notes

Attach annotated photo evidence, with built-in compression and size limits so storage stays sane.

Equipment scan logging

Scan a unit to log model and serial context automatically — no retyping nameplates.

Compliance trigger detection

Scribify listens for compliance-relevant details and prefills the form fields where it can.

Review before reporting

A dedicated review tab surfaces flagged items so nothing ships until you've signed off.

Reporting hub and history

Full job history and compliance log access from the office, whenever you need to look back.

Offline draft protection

Drafts stay safe locally in poor-signal environments, then sync automatically once you're back online.

Team and org workflows

Invite technicians, standardize documentation quality, and keep branding consistent across the team.

The workflow

How it works

Four steps, all of them happening while you're still standing next to the unit.

1

Start the job

Enter the work order — customer, address, and equipment context.

2

Capture naturally

Record notes, attach photos, and scan equipment as you work.

3

AI drafts the report

Scribify structures everything into a clean, report-ready draft.

4

Review and Generate Report

Resolve flagged items, finalize, and send with confidence.

Time saved

What's late-night paperwork actually costing you?

Adjust the numbers for your team and see the weekly and yearly impact.

Your numbers

Drag each slider to match your team's real-world pace.

Hours recovered / week / tech
6.0 hrs
Labor cost saved / week
$390
Labor cost saved / year
$20,280
Estimate based on Hours Saved = (minutes saved × jobs/day × workdays/week) ÷ 60, multiplied by loaded hourly rate. Figures are illustrative — plug in your own team's numbers.
In the field

What teams notice first

Sample quotes — swap in real technician feedback before launch
"Cut my report time in half and made my notes cleaner for the office."
R. Alvarez — Lead Technician, HVAC
"The review step catches things I would've forgotten by the time I sat down to type."
D. Okafor — Service Manager, Plumbing
"Our compliance records finally look the same no matter who's on the job."
T. Whitfield — Owner, Electrical Services
Challenge

Techs handwriting notes on paper or typing them from memory hours later — leading to illegible handwriting, missed details, and reports that looked different depending on who wrote them.

Solution

Mobile voice-first capture on-site, AI-structured drafts, and a mandatory review gate before anything ships.

Outcome

No more end-of-day paperwork, legible and consistent reports every time, and fewer office callbacks asking "what did this actually say?"

Questions

Frequently asked

What is this app for?

This app helps technicians and business owners capture job details, organize work information, and generate professional reports faster. It's designed to reduce paperwork and make field documentation easier, clearer, and more consistent.

Who is this app for?

It's built for field service professionals such as HVAC, plumbing, electrical, and similar trades. It works for solo technicians as well as business owners who want oversight across multiple technicians.

What problem does it solve?

It saves time by turning job notes, voice input, and field details into structured reports. Instead of building everything manually, users can focus on the job while the app helps organize the paperwork.

How is this different from a basic notes app or PDF form filler?

Unlike a generic notes app, this app is tailored for field service work. It helps structure reports, store important job details, support compliance-related information, and keep your workflow organized in one place.

How is this app different from other field service tools?

This app is built specifically for technicians and field service teams, not as a generic note-taking or document tool. It focuses on helping users capture job details, organize reports, and keep records consistent with less manual work. For business owners, it also adds team oversight, company branding, and reporting across multiple technicians.

What's the difference between a Technician account and a Business account?

A Technician account is for individual users who work solo and want a simple, efficient way to manage their own jobs and reports. A Business account is for owners or managers who need oversight across multiple technicians, centralized branding, and access to team-level reporting and compliance activity.

Can I use it for my company branding?

Yes. Business users can manage company branding details so reports reflect a more professional, consistent company identity.

Does it support team management?

Yes, the Business account is designed for managing multiple technicians under one organization. That makes it easier to coordinate work, review reports, and keep company data organized.

Is it useful for compliance or regulated work?

Yes. The app is designed to help technicians organize compliance-related information and keep work records structured, which is especially useful in trades where accuracy and documentation matter.

Do I need to be technical to use it?

No. The app is built to be simple enough for everyday use. The goal is to make job capture and reporting easier, not add complexity.

Can I start small and upgrade later?

Yes. Many users start as a Technician and upgrade to Business when they begin managing more people or need company-wide visibility.

How do I downgrade my Business account back to a Solo Technician account?

If you're the Business Owner, you can downgrade directly in the app:

  1. Open Settings
  2. Tap Manage Team
  3. Select Advanced Settings
  4. Select Downgrade to Personal/Solo Technician
  5. Confirm the downgrade prompt

After downgrade, your account switches back to a Technician account and team management is removed.

What happens when I downgrade?
  • Your account type changes from Business to Technician
  • All team members are removed from your organization
  • Pending team invites are revoked
  • You can continue using the app as a solo technician
Important before downgrading: downgrading is intended for owners who no longer need team features. If you still need multi-technician access, keep your Business account active.
